This policy explains what information Ninja Tools collects and how it is used. It covers:

  • Ninja Tools for PowerPoint, the add-in that runs inside Microsoft PowerPoint;
  • Ninja Tools for Mac, the companion app for macOS; and
  • this website, ninjatools.co.uk.

Ninja Tools is made by Jon Flynn Design Ltd, a private limited company registered in England and Wales, company number 08821564, registered office 80 Benedict Street, Glastonbury, BA6 9EZ (“we” or “us”). We are the data controller for the information described in this policy.

The short version

  • Your presentations stay on your computer. Neither the add-in nor the Mac app uploads your slides, text, fonts or files to us or anyone else.
  • The Mac app does not connect to the internet. It contains no analytics, tracking or advertising.
  • The add-in’s panels are web pages loaded from this website, so our hosting providers receive the same basic technical information as for any website visit.
  • No account is needed. We don’t sell personal information or use it for advertising.
  • Payments and downloads are handled by Lemon Squeezy.

Ninja Tools for PowerPoint (the add-in)

The add-in adds a Ninja Tools tab to PowerPoint. Its panels, Font Checker and the Ninja Tools information panel, are web pages loaded from ninjatools.co.uk. Microsoft’s standard Office add-in library is loaded from Microsoft’s servers.

  • Your presentation: when you install the add-in, it asks PowerPoint for permission to read the open document. It does not send any presentation content to us or to anyone else.
  • Opening the Mac app: on a Mac, the Font Checker button asks PowerPoint to open Ninja Tools for Mac on your computer, and PowerPoint asks your permission first. Nothing about your presentation is sent over the internet in this step. On other platforms, Font Checker explains that it needs a Mac and sends nothing.
  • Information panel: each time it opens, the panel fetches its latest text and links from this website. Apart from the standard technical information described under “This website” below, nothing about you or your document is sent.
  • Links and email buttons: links open in your web browser. Email buttons open your own email app with our address filled in. Nothing is sent unless you choose to send the email.

Microsoft’s own privacy statement covers what Microsoft collects when you install and use add-ins through Office and Microsoft Marketplace: privacy.microsoft.com/privacystatement.

Ninja Tools for Mac (the companion app)

Ninja Tools for Mac works entirely on your Mac and does not connect to the internet. To do its job it:

  • Reads the presentation you choose: either a .pptx file you open or drop onto the app, or the presentation currently open in PowerPoint. To find that presentation, the app asks PowerPoint for its file name, location and whether it has unsaved changes, and macOS asks your permission the first time. The app reads the file to list the fonts it uses, using a temporary working copy that it deletes straight afterwards. It never changes your presentation.
  • Checks the fonts installed on your Mac, including fonts supplied with Microsoft Office and fonts Office has downloaded. Reading Office’s font folder can make macOS ask whether the app may access data from other apps.
  • Collect Fonts (only when you click it) copies the font files used by the presentation into a new folder next to the presentation, on your own Mac.
  • Copy Report (only when you click it) puts a text report on your clipboard.

None of this information leaves your Mac. The app contains no analytics, crash reporting, advertising or tracking. If a future version needs to send any information, for example to check a licence key, we will update this policy before releasing it.

This website

  • Hosting and security: this website is hosted by GoDaddy and protected by Cloudflare. When you visit a page, including the add-in’s panels, these providers process technical information about the request, such as your IP address, browser and device type, the page requested and the time. They use it to deliver the site, keep it secure and prevent abuse, and they may keep it in their logs for a period set by their own policies.
  • Cookies: the site sets one strictly necessary security cookie, __cf_bm, which Cloudflare uses to tell people apart from automated bots. It expires after about 30 minutes. We don’t use analytics, advertising or tracking cookies. Cloudflare’s privacy policy: cloudflare.com/privacypolicy.
  • External links: the site and the add-in link to other services, including Lemon Squeezy, Cued Up (cued-up.com), YouTube and Facebook. Those sites have their own privacy policies, and we’re not responsible for how they handle information.

Payments and downloads (Lemon Squeezy)

Downloads, pay-what-you-want contributions and licence keys are handled by Lemon Squeezy, which acts as the merchant of record. Lemon Squeezy collects the details needed to complete your order, such as your name, email address, country and payment details. It shares order details with us, for example your name, email address, what you ordered and any licence key, so we can provide and support your order. We never see your full card details. When you email us

Under UK data protection law (UK GDPR), we rely on:

  • Legitimate interests, to run a secure website and to reply to your messages; and
  • Contract, to provide downloads, licences and support for anything you’ve ordered.

Where information is processed

Some of the providers named above (including Cloudflare, GoDaddy, Google, Lemon Squeezy and Microsoft) may process information outside the UK, including in the United States. Where they do, they are responsible for using safeguards recognised under UK data protection law.

How long we keep information

Hosting and security providers keep technical logs for periods set by their own policies. We keep order records for as long as needed for licences, support, and legal and tax obligations, and we keep emails only for as long as they’re useful for supporting you.

Your rights

Under UK data protection law you can ask to see, correct or delete the personal information we hold about you, object to how we use it, or ask us to restrict it. Email us at the address below. Ninja Tools is a professional tool and isn’t aimed at children. We don’t knowingly collect information from children.

Changes to this policy

If we change how Ninja Tools handles information, we’ll update this page and the date at the top.
